TERMS & CONDITIONS OF SALE, INSTALLATION CONDITIONS & PRODUCT WARRANTIES

 

SECTION 1: PLANNING PERMISSION & BUILDING REGULATIONS

1.1 Absolute Customer Responsibility

Easy Units Ltd acts strictly as a product manufacturer and structural installer. We do not carry out, submit, or manage planning permission applications or Building Regulations approvals on behalf of the Customer. It is the sole legal responsibility of the Customer to check local planning regulations, restrictive covenants, and conservation area rules before placing an order. While we are always happy to assist by providing general building specifications, engineering data, or structural dimensions, the final verification rests with the property owner.

1.2 Standard Permitted Development Guidelines (Normal Circumstances)

In the vast majority of standard domestic installations, Easy Units garden buildings fall under Permitted Development rules and do not require formal planning permission, provided they meet the following strict criteria:

  • Height Restrictions: Easy Units structures are engineered to an exact overall height of 2.45 metres with a flat roof profile. Because they sit comfortably under the 2.5-metre legal ceiling, they are fully permitted to be installed right up to, or within 2 metres of, any property boundary line without requiring a planning application.

  • Ground Coverage: The building, together with any other existing outbuildings or extensions, must not cover more than 50% of the total regular garden area surrounding the original house.

  • Location: The unit must not be placed forward of the principal elevation (the front wall) of the original house.

  • Designated Land: If the property sits on designated land (such as a Conservation Area, National Park, or Area of Outstanding Natural Beauty), Permitted Development may be restricted, and cladding materials or sizes may require strict approval.

1.3 When Planning Permission or Building Regulations Are Required

The Customer must be aware that standard Permitted Development rules are immediately overridden, and formal applications may be required, if any of the following apply:

  • Adding Bathrooms / Kitchens / Plumbing: If the garden room is being configured to include mains running water, kitchens, toilets, or showers, it will automatically fall under UK Building Regulations approval. This requires specific structural, drainage, ventilation, and insulation compliance.

  • Sleeping Accommodation: If the unit is intended to be used as regular, self-contained sleeping accommodation (e.g., an annex or holiday let), full planning permission and Building Regulations approval are legally mandatory regardless of the unit's physical size.

  • Size Limitations: Any detached garden building with an internal floor area exceeding 15 square metres placed within 2 metres of a boundary, or any unit exceeding 30 square metres in total internal size, must strictly comply with Building Regulations for fire safety and structural integrity.

1.4 Project Revisions & Variations

If the Customer's local planning authority or building control officer demands specific design changes to meet local criteria (such as altering structural dimensions or utilising specific fire-rated wall panels), the Customer must supply these full technical requirements to Easy Units Ltd in writing. We will review the requirements and, if necessary, issue a revised quotation to reflect the engineering variations, material changes, or structural adjustments required to achieve compliance. Failure to secure necessary approvals does not constitute grounds for order cancellation or deposit refunds once manufacturing has commenced.

SECTION 2: GROUNDWORK & BASE SPECIFICATIONS

2.1 Absolute Base Indemnity

Easy Units Ltd does not undertake civil engineering, site clearing, or ground preparation works unless explicitly detailed in the main quote line items. The structural longevity of the modular frame is directly dependent on the base it rests upon. Providing a flat, level, true, and structurally sound platform capable of bearing the permanent weight of the structure is solely the Customer's legal obligation.

2.2 Structural Base Standards

  • Primary Recommendation: For ideal long-term structural tracking, thermal insulation performance, and structural levelling, a professionally poured concrete slab is highly recommended.

  • Slab Dimensions: The concrete slab should ideally be cast 200mm larger than the internal building footprint (providing a 100mm structural lip on all four outer margins) to accommodate slight out-of-square groundwork variances.

  • Slab Quality: Concrete must meet structural grade C20 or C25 specifications (resisting a minimum compressive load of 20 Newtons per mm2), poured to a minimum thickness of 100mm over a minimum compacted sub-base of 100mm MOT Type 1. The surface finish must be flat and level.

  • Finished Height: The top surface of the base should ideally sit 50mm above the immediate natural ground level to protect against standing rainwater, pooling mud, and organic debris accumulation.

2.3 Secondary Substrates & Water Ingress Disclaimer

While our installation teams can work with alternative level platforms (such as solid paving slabs or industrial structural pads), we accept no responsibility for natural shifting or substrate failure.

CRITICAL WARNING ON WATER INGRESS: If a customer chooses to install a unit over temporary pads while leaving exposed organic mud, grass, turf, or raw topsoil directly beneath the floor structure, moisture will continually rise from the ground. This creates a high-humidity microclimate that can lead to wood rot, subfloor dampness, mould, and structural breakdown. Easy Units Ltd explicitly disclaims all liability for subfloor decay, timber rot, or internal dampness caused by sub-surface water ingress from unsealed, un-concreted ground bases.

2.4 Cosmetic Profiling of Ground Gaps

Where an unlevel base requires our assembly crew to use packers to square and level the steel chassis, any visual or physical gaps resulting beneath the steel frame perimeter are the Customer's responsibility to skirt, seal, or finish post-installation.

SECTION 3: ORDER CONFIRMATION & CLERICAL ERRORS

3.1 Finality of Specification

By signing the Final Confirmation of Your Easy Units Order, the Customer agrees that the dimensions, frame colours, internal wall finishes, flooring selections, door/window configurations, and cladding allocations detailed in the upper section of this document constitute the complete and final manufacturing specification.

3.2 Discrepancies, Clerical Errors, and Omissions

  • Itemised Invoice Overrides Specification: In the event of an administrative error, typo, or structural discrepancy between the text on the visual specification sheet (e.g., DocuSign specification summary) and the itemised commercial invoice/estimate, the line items on the commercial invoice shall always take legal precedence.

  • Exclusion of Unpaid Goods: The Customer is only contractually entitled to receive the specific products, sides of cladding, windows, doors, or upgrades that have been explicitly priced, itemised, and charged for on the Pro-Forma / Invoice.

  • Rectification Limit: If a specific elevation or side of the unit is accidentally listed as "Clad: Yes" on a summary document, but the invoice & Renders clearly demonstrate that the Customer has only been billed for a single elevation (e.g., "Front Only"), Easy Units Ltd is under no legal obligation to provide the additional clad elevations for free. In such instances, Easy Units Ltd reserves the right to amend the clerical error immediately on-site and install the unit strictly in accordance with what has been financially paid for, or offer the additional cladding to the Customer at an immediate variation charge.

SECTION 4: PAYMENT POLICIES & FISCAL GATEWAYS

4.1 Integrated Payment Architecture

All orders executed via DocuSign are linked directly to a secure, integrated payment gateway.

4.2 Deposit and Stored Credentials

  • Initial Deposit: A payment representing 50% of the total order value must be successfully processed through the integrated gateway at the time of signing to release the order to the production line.

  • Balance Pre-Authorisation: By inputting card details during the deposit phase, the Customer explicitly authorises Easy Units Ltd to securely store the transaction credentials in a PCI DSS compliant, encrypted vault.

  • Automatic Balance Processing: The stored credentials will be automatically charged for the remaining 50% balance on the first day of physical installation.

4.3 Account Retention & Ownership of Goods

All materials, structural components, electrical assets, and cladding items remain the sole legal property of Easy Units Ltd until the entire order balance is paid in full. We reserve the absolute right to halt assembly or safely reclaim materials from the property if balance processing fails on Day 1 of the installation window.

SECTION 5: CANCELLATIONS & LIQUIDATED DAMAGES

5.1 Workshop Deductions

In the event of an order cancellation by the Customer after signing, Easy Units Ltd shall deduct all actual accrued costs from any refundable amounts. Accrued costs include, but are not limited to, bespoke workshop preparation, welding, metal cutting, structural engineering configurations, restocking fees, and dedicated delivery route planning.

5.2 Same-Day Cancellation Penalty

If a cancellation occurs on the scheduled day of delivery or assembly, or if access is refused, a fixed liquidated damages charge of 10% of the total order value plus all associated haulage, labour, and material handling costs will be permanently applied and withheld from any refunded deposits.

SECTION 6: LOGISTICS, SCHEDULES & WEATHER

6.1 Estimations and Adaptations

All stated delivery, production, and installation timelines are good-faith estimates and are subject to immediate adjustment due to adverse weather conditions (including heavy wind, rain, frost, or extreme heat waves), supply chain shortages, or logistics failures.

6.2 Exclusion of Consequential Damages

Easy Units Ltd acts strictly as a product manufacturer and structural installer. We assume zero financial liability for costs, penalties, lost wages, or secondary charges incurred by the Customer due to timeline movements. This includes fees for rescheduling independent third-party tradespeople (such as electricians, internet technicians, or landscapers).

6.3 Access, Haulage, and Parking Obligations

  • Proximity: The Customer must provide safe, legal parking for a commercial transit-sized installation van immediately adjacent to the assembly zone.

  • Access Notification: Any structural, physical, or legal access limitations—including narrow pedestrian gates, height-restricted paths, steps, arches, or specific local noise/working hour rules—must be declared in writing before deployment.

  • Third-Party Charges: If an installation fails or is delayed due to undeclared access limits, the Customer will absorb all rescheduling and secondary labour costs.

SECTION 7: ASSEMBLY CONDITIONS & SITE HANDOVER

7.1 On-Site Infrastructure Requirements

The Customer must provide stable mains electricity on-site to charge battery-operated gear or power specialised assembly tools. If mains power is physically unavailable, Easy Units Ltd must be notified in writing at least 7 days before deployment so alternative generators can be budgeted and supplied.

7.2 Cleanliness, Site Cleaning, and Waste Expectations

  • Post-Installation Handover: The installation crew will clear heavy assembly off-cuts, packaging material, and hardware debris from the immediate build site.

  • Exclusion of Deep Cleaning: The crew are installers, not domestic cleaners. The installation price does not include deep cleaning, polishing, mopping floors, window-buffing, or the detailed chemical removal of factory glue residue or grease marks.

  • Protective Film Handling: Protective factory tape on UPVC frames or panels is applied to protect profiles during shipping and frame manipulation. The installation crew will remove general wrapping, but are not responsible for meticulously picking off micro-edges or removing adhesive film lines from glass or external trim.

  • Dust & Environmental Realities: Exterior garden assembly creates dust, metal filings, and ambient debris. Environmental dust settling on or inside the unit during assembly is entirely normal and is the Customer's responsibility to clean.

7.3 Mandatory Completion Handover and Sign-Off

The Customer (or a legally authorised representative over the age of 18) must be physically present on-site on the final day of completion to inspect the finished unit alongside the lead installer. Upon completion, the Customer must walk through the unit, test the operation of doors/windows, and sign the physical Completion Certificate. Retrospective claims regarding visible surface scratches, physical marks, structural alignment, or operational defects will not be accepted if the Customer was absent or failed to inspect the building at the time of handover.

SECTION 8: MATERIAL PHENOMENA & COSMETIC TOLERANCES

8.1 Composite Cladding Behaviour ("Oil Bleeding" or "Staining")

Customers selecting Sleek or LUX Composite Cladding options must expect natural material stabilisation behaviours. Composite cladding boards contain natural organic oils and polymers that will temporarily "bleed" or wash out when exposed to initial UV radiation and rain cycles. This creates temporary surface water marks, weeping lines, or apparent "staining." This is a natural stabilisation process. These marks are completely harmless and will naturally wash clear after several rain cycles, requiring no chemical treatment.

8.2 Composite Variations

Composite cladding is produced across distinct manufacturing batches. Minor colour variations, grain depth changes, or shifting hues between individual cladding profiles or adjacent elevations are standard industry tolerances and do not constitute manufacturing flaws.

8.3 Timber Cladding ("Classic" Range) & Natural Wood Realities

Customers selecting the Classic Timber Cladding range accept that timber is an active, organic, natural material.

  • Natural Imperfections: Timber will feature knots, organic whorls, minor grain splits, and colour deviations. These are natural characteristics, not defects.

  • Thermal and Atmospheric Expansion: Natural timber constantly absorbs and releases moisture. It will expand, contract, warp, cup, and twist depending on the season, ambient humidity, and direct sunlight.

  • Trim Movement: Natural shifting may cause decorative trim profiles, perimeter cover strips, or finish pinning to shift or slightly separate over time. This is standard material behaviour and is not covered under our structural installation warranties.

  • Maintenance Requirements: To prevent rapid weathering, UV bleaching, and advanced water retention, the Customer must apply an effective UV-protective timber sealer or microporous stain annually. Failure to maintain a protective coating voids all associated timber structural warranties.

8.4 Modular Panel Aesthetics

Insulated wall and roof panels are manufactured under heavy industrial conditions. Minor, non-structural cosmetic variations—such as micro-scratches, slight paint variations, minor manufacturing scuffs, or tiny dimples that do not alter the integrity of the insulation core or powder coat—are within normal manufacturing tolerances and are not grounds for replacement or panels swaps.

SECTION 9: INTERNAL SYSTEMS & ELECTRICAL INFRASTRUCTURE

9.1 Scope of Internal Distribution

Where an "Electrical Bundle (installed)" is listed on the Pro-Forma / invoice, the price covers internal distribution assets only. This includes the physical installation of the internal consumer unit, internal wiring loops (using twin & earth cable), internal double sockets, light switches, heating elements, and internal/external light fittings as specified in the package description.

9.2 Main Hook-Up & Grid Connection Exclusion

The package price excludes the physical connection of the garden building to the property’s main distribution board or grid supply. The execution, routing, armoured cable specification, distance calculation, trenching, and certified testing of the main supply line must be independently assessed and invoiced on-site by a qualified electrician based on distance and site conditions.

SECTION 10: DOORS, WINDOWS & SETTLING ADJUSTMENTS

10.1 Natural Structural Settling

Every garden building is a heavy structure that will subtly settle into its foundation over the first 3 to 6 months of installation. This microscopic settling, combined with seasonal thermal expansion and contraction of UPVC profiles during extreme heat or cold, can alter the alignment of door and window frames.

10.2 Realignment Responsibility

Ongoing seasonal adjustments and operational tuning of doors, window hinges, and multi-point lock tracking are the sole maintenance responsibility of the Customer and are excluded from our installation warranty.

10.3 Quick Realignment Process

UPVC door realignment does not require callout charges or specialised tools:

  1. Locate the tracking adjustment screws positioned inside the door hinges.

  2. Using a manual screwdriver, loosen the hinge fixing screws slightly.

  3. Manually adjust or lift the door profile to re-establish a square clearance within the frame keep.

  4. Tighten the screws securely to lock the new alignment.

SECTION 11: COMPREHENSIVE WARRANTY POLICY

Easy Units Ltd provides a multi-tiered manufacturer and assembly warranty across distinct building elements, contingent upon strict adherence to the Care & Maintenance Guide.

11.1 Warranty Breakdown

  • Structural Steel Framework — 3 Years

    Structural failures, failures of galvanised coatings, or welding defects under normal environmental conditions.

  • Insulated Wall & Roof Panels — 3 Years

    Delamination, core rot, core separation, or structural corrosion of the metal skins.

  • Laminate Floor Coverings — 25 Years

    Domestic warranty covering structural splitting, warping, or core separating under normal dry usage.

  • Vinyl Floor Coverings — 7 Years

    Domestic warranty covering manufacturing splits, peeling, or material tearing under normal usage conditions.

  • UPVC Doors & Windows — 2 Years

    Manufacturing failures of structural double-glazed units, blown perimeter seals, and hinge/lock hardware failure.

  • Workmanship (Assembly) — 12 Months

    Errors directly stemming from incorrect installation by an authorised Easy Units Ltd crew.

11.2 Strict Warranty Exclusions

The warranties listed above are completely void under the following conditions:

  • Base Failure: Damage, door dropping, frame skewing, or wall buckling caused by inadequate, settling, cracking, moving, or unlevel foundation bases.

  • Water Ingress via Base: Subfloor rotting, dampness, or internal mould caused by placing the building over grass, mud, soil, or improper structural pads without a sealed damp-proof base or concrete foundation.

  • Lack of Maintenance: Structural or waterproofing failures caused by blocked roof drainage paths. Perimeter drainage channels must be cleared of leaves, moss, and tree debris at least twice per year to prevent standing water overflows.

  • Cosmetic Wear & Tear: Superficial surface scratches, natural UV colour fading, batched cladding shade differences, timber knots, or minor moisture-related movement of timber cladding trims.

  • Environmental Events: Damage caused by severe flooding, extreme storm damage, falling trees, lightning, fires, or acts of God.

  • Third-Party Modification: Any modifications, electrical structural additions, structural internal wall insertions, window alterations, or roofing changes made by non-affiliated contractors.

  • Condensation: Internal moisture build-up or atmospheric mould caused by inadequate room ventilation, particularly when the unit is used as a high-humidity environment (e.g., home gym, hair salon, shower space) without active mechanical extraction or regular airflow.

11.3 Procedure for Registering a Warranty Claim

To log an active claim, the Customer must follow this procedure:

  1. Written Notification: Send an email to info@easyunits.co.uk containing the original order number, invoice number, full address, and date of installation.

  2. Evidence Pack: Attach clear high-definition photographs and a wide-angle video showing the specific defect and its location.

  3. Assessment: The Easy Units technical desk will evaluate the submission. If required, an on-site structural inspector may be deployed.

  4. Remediation: For valid claims, Easy Units Ltd will repair or replace the affected component at no cost to the Customer. We are not liable for decorating or secondary costs associated with the swap.
